Managing Your Subscription
Viewing Current Plan
- Go to Settings → Billing
- See your current plan details:
- Plan name
- Billing cycle
- Next payment date
- Employee count usage
Upgrading Your Plan
- Go to Settings → Billing
- Click Change Plan
- Select your new plan
- Confirm the change
What happens:
- Upgrade takes effect immediately
- You're charged the prorated difference
- New features become available instantly
Downgrading Your Plan
- Go to Settings → Billing
- Click Change Plan
- Select a lower plan
- Confirm the change
What happens:
- Change takes effect at next billing cycle
- You keep current features until then
- Excess employees may need to be deactivated
Before downgrading, check that your employee count fits within the new plan's limits.
Cancelling Your Subscription
- Go to Settings → Billing
- Click Cancel Subscription
- Tell us why you're leaving (helps us improve)
- Confirm cancellation
What happens:
- Access continues until end of billing period
- Data is retained for 30 days after expiration
- You can reactivate anytime within 30 days
Payment Methods
Accepted Payment Methods
- 💳 Credit/debit cards (Visa, Mastercard, Amex)
- 🏦 Bank transfer (for annual plans over $500)

- 📱 Apple Pay, Google Pay
Adding a Payment Method
- Go to Settings → Billing → Payment Methods
- Click Add Payment Method
- Enter your card or account details
- Click Save
Updating Payment Method
- Go to Settings → Billing → Payment Methods
- Click Edit on the existing method
- Update the details
- Click Save
Removing a Payment Method
- Go to Settings → Billing → Payment Methods
- Click Remove (must have at least one method on active subscription)
- Confirm removal
Invoices and Receipts
Viewing Invoices
- Go to Settings → Billing → Invoices
- See a list of all past invoices
- Click any invoice to view details
Downloading Invoices
- Click on the invoice
- Click Download PDF
- Save to your computer
Invoice Contents
Each invoice includes:
- Invoice number and date
- Billing period
- Plan details
- Amount charged
- Payment method used
- Tax information (if applicable)
Need invoices for expense reports? You can download them anytime from your billing history.
Billing FAQs
When am I charged?
- Monthly plans: On the same date each month
- Annual plans: Once per year on your start date
- Lifetime: One-time charge at purchase
What if my payment fails?
- We'll notify you by email
- We'll retry the payment after 3 days
- If still failing, you'll have 7 days to update payment info
- Service pauses if not resolved within 14 days
Can I get a refund?
- Within 7 days: Full refund, no questions asked
- After 7 days: Prorated refund for annual plans
- Lifetime licenses: 30-day money-back guarantee
To request a refund:
- Email billing@shiftai.com
- Include your organization name
- We'll process within 5 business days
Do you offer discounts?
- 📚 Educational: 50% off for schools and universities

What happens if I exceed my employee limit?
- You'll receive a warning notification
- Existing schedules continue to work
- You cannot add new employees until you upgrade or remove some
How do I update my billing address?
- Go to Settings → Billing → Billing Details
- Update your address
- Click Save
Future invoices will use the new address.
Tax Information
VAT/GST
For businesses in applicable regions:
- Enter your VAT/GST number in billing settings
- Tax will be calculated or exempted based on your location
- VAT invoices are generated automatically
Tax Receipts
All invoices include necessary tax information:
- Subtotal and tax amounts
- Tax ID (where applicable)
- Business registration details
Tax Exemption
If you're tax-exempt:
- Email billing@shiftai.com
- Attach your exemption certificate
- We'll update your account within 2 business days
Enterprise Billing
For Enterprise plans:

- Net 30 payment terms available
- Purchase order support

Troubleshooting
"Payment method declined"
Common causes:
- Expired card
- Insufficient funds
- Bank security block
Solutions:
- Check card details are correct
- Contact your bank about the block
- Try a different payment method
"Cannot downgrade - too many employees"
Solution: Deactivate employees until you're within the new plan's limit, then retry the downgrade.
"Invoice not received"
Check:
- Your email address in settings
- Spam/junk folder
- Download directly from billing page
"Subscription shows expired but I paid"
Possible causes:
- Payment processing delay
- Payment to wrong account
